Event Registration for the 103rd PGA Annual Meeting will open Tuesday, Nov. 5 at 9:00 a.m. and will be located in the Palm Beach County Convention Center, Main Level.

South Florida Section Hospitality

The South Florida Section cordially invites you to their hospitality room located in the Coral Ballroom A/B.  Refreshments, gifts and information on local sights will be provided.

Member Service Requirement (MSR) Credits

PGA Member Delegates, Officers, Past Presidents and Board Members who attend the 103rd PGA Annual Meeting will receive a total of fourteen (14) MSR credits in the PGA Required Category for check in on Tuesday Nov. 5 or Wednesday Nov. 6.  Members who check in on Thursday, Nov. 7 or Friday, Nov. 8 will receive seven (7) MSR credits in the PGA Required Category. Members must sign-in at the PGA Registration table on Tuesday, Wednesday, Thursday, or Friday in order to be awarded the MSR Credits.

The Hilton has a complimentary shuttle from Palm Beach International Airport, which runs continuously every 30 minutes, 15 minutes before the hour and 15 minutes after the hour (i.e., 11:45 a.m. and 12:15 p.m.).  Additionally, you may take an Uber/Lyft/Taxi.

Air Travel

Air travel may be made and booked via any travel reservation option. The preferred arrival and departure airport is Palm Beach International Airport (PBI) The Hilton West Palm Beach is about 3 miles from the Airport. Fort Lauderdale International Airport (FLL) is 35 miles.

Rental Car

A rental car is not required for this event, as the PGA will provide transportation for any off-site events that are not in walking distance.  

Departure Shuttles

The PGA will offer departure shuttles from the Hilton West Palm Beach for flights departing Palm Beach International Airport (PBI) on Saturday, Nov. 9 starting at 4:00 a.m. and continuing through 11:00 a.m. only. Online sign-up sheets will be available on-site at registration. 

From Palm Beach International Airport: Exit airport, make right. Take 95 North for one exit (Exit 70), make right and go approx. 1 mile and hotel is on right side just past convention center.

The PGA of America will reimburse or provide a stipend for each Section’s official delegation - three Section Officers and the Section Executive Director - to attend the 103rd Annual Meeting. Reimbursement will be provided for four (4) nights lodging, airfare, one (1) luggage item, and (1) golf bag will occur with proper receipts and expense forms. A general stipend will be given to each Section for meals on travel days, ground transportation, gratuities and District Dinner. See Policies and Procedures below.

Policies & Procedures

General Reimbursement Policies and Procedures for Section Travel to the Annual Meeting:

Air Travel: The PGA will reimburse the cost of the lowest airfare of any airline to the destination that is booked at least 14 days in advance. Once a ticket is completed, any changes to the ticket will be the responsibility of the individual and should not be charged to the PGA. Flight reservations may be made via any booking tool. In addition, the Association will reimburse for one (1) luggage item and one (1) golf bag. The PGA will not reimburse for in flight WI-FI, seat/class upgrades nor travel insurance. The use of frequent flyer mileage to purchase tickets or upgrades for use on Association business will not be treated as cash and, therefore, will not be reimbursed.

Lodging: The PGA will reimburse, per Section, a maximum of four (4) rooms for four (4) nights (Tuesday, Nov. 5 check-in through Saturday, Nov. 9, check out).  There will be no modifications to this housing schedule for reimbursement.  Additional nights will be the responsibility of the individual. 

Other Expenses: All other expenses will be covered by the general stipend. This includes meals on travel days, ground transportation, gratuities and District dinner. There will be no reimbursement of any specific expenses other than air travel and lodging with the exception of mileage for any Section within reasonable distance of the Annual Meeting that chooses to drive instead of fly. Rental cars will not be reimbursed.

Submission of Expense Reports: Submitting accurate and timely expense reports is imperative for quick reimbursement of business expenses and to meet certain IRS requirements. 

All air travel and lodging expenses for a Section’s Delegation are to be submitted together in one packet and should be submitted to Tom Brawley, Senior Director, Membership Services within 30 days following the Annual Meeting. Expenses older than 30 days will not be reimbursed unless there are extenuating circumstances documented in a memo attached to the expense report.

All other delegate expenses should be submitted directly to the Section for reimbursement. Please refer to your Section’s Travel and Entertainment policy for specific guidance on procedures for reimbursement.

Documentation: Association policy requires that ALL expenses be documented by an original invoice/receipt, attached to the expense report. Air travel should be supported by an airline passenger receipt or original invoice, and lodging by an original hotel bill. Receipts that are torn, or otherwise altered will not be accepted.

For all other expenses, please refer to your Section’s Travel and Entertainment policy.
